POSITION:

EXECUTIVE SECRETARY I    Permanent Fulltime

 

DUTIES:

The incumbent provides secretarial and administrative support to the Chief Deputy Director. Typical duties and responsibilities include:

Prepares correspondence and brief reports in response to requests for information as necessary in order to relieve the Chief Deputy Director of routine tasks.

Using Microsoft Word for Windows and Excel in a network environment, types reports, analyses, and correspondence from handwritten material and/or a Dictaphone; also types/edits/formats reports and correspondence from computer disks.

Serves as Liaison with various transportation agencies and coordinates arrangements for Commission events (meetings, tours, groundbreaking ceremonies, legisative receptions).

May attend Commission meetings (which are held at various locations throughout the State); coordinates arrangements for appearances before the Commission when requested by private citizens during the Commission meeting; and, responds to ad hoc requests from the Commissioners and Executive Director as they occur during the meeting.

Performs routine secretarial tasks including calendaring, receiving and screening telephone calls, and reviewing incoming and outgoing correspondence.

Plans, directs, and supervises all clerical functions associated with the Annual Report to the Legislature; makes arrangements for graphic art work, printing, binding, and distribution; and, maintains cost and distribution records for this publication.

 

DESIRABLE QUALIFICATIONS:

Familiarity with personal computers and/or networks.

Ability to work well under pressure.
